Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire. Annual average salary ranges from: $60,000 - $70,000. POSITION SUMMARY Position provides direct supervision and coordination of services of non-provider support staff, assisting the Practice Director with oversight of daily operations related to the VIR Office. Supports staff to include training and sharing knowledge in the division and performs a variety of duties in both the clinical and administrative areas focusing on the delivery of quality patient care. SUPERVISORY RESPONSIBILITIES (if any) Scheduling Coordinators, Clinical Assistants ESSENTIAL FUNCTIONS Supervises non-provider clinical support staff ensuring adequate VIR physician support, patient care and customer support at the VIR Office in an efficient and effective manner. Evaluates workload and needs of the practice to coordinate, motivate, and direct daily workflow of patient scheduling coordinators and clinical assistant. Coordinates, motivates, and directs workflow of the department team. Works with the Radiology Support Supervisor for the coordination of physician and mid levels’ schedules. Problem solves daily office and clinical schedule issues through open communication and meeting regularly to discuss issues as they arise. Coordinates staff coverage during sick and vacation leave. Provides training support to incoming and new staff. Provides direct patient care clinical duties including taking and recording vital signs, explaining treatment procedures to patients, preparing patient for examination, and assisting during procedures, as backup to clinical assistant or as needed. Assists physician with the health/physical assessment process and assists with patient testing procedures as directed by physician. Assists in the documentation and education of the patient in their plan of care. Collaborates with physician care plan to coordinate pre-operative diagnostic tests, medical consults, etc.; gathers information, and works with insurance for prior auth for testing and procedures, etc. Accurately and timely documents patient care services by charting in the patient record. Oversees patient care performed by the schedulers and clinical staff. Serves as a backup for triaging calls, scheduling urgent appointments in a timely manner, and scheduling procedures at hospital sites. Has ability to effectively perform essential job functions for each position. Establishes and implements medical office and clinical policy and protocol development, training, and monitoring of adherence to policy and protocol. Develops tracking system for all policy and protocol Serves as the Lead representative and champion for Electronic Medical Record software and other software programs. Establishes effective workflows to improve overall efficiency and up to date practices. Ensures that the daily fax inbox (referrals, orders, RX authorizations, record request, post op H&P) or assigns tasks as appropriate. Oversees and performs patient scheduling for VIR office including completing appropriate paperwork, prior authorizations and insurance referrals or assigns as appropriate. Assist Physicians with Vein Procedures when required sterile protocol is utilized. Completes annual reviews for all direct reports; coaches and mentors staff to support their development and foster engagement. Supports and oversees student externship and new employee orientations throughout the department. Oversees Medical Resident schedules working with the Physician Residency Director. Maintains appropriate level of Company and HIPAA related confidentiality. PRIMARY RESPONSIBILITIES Serves as the point of contact for all the VIR Office Ensures patient information and record/film retrieval for patient’s medical records or assigns as appropriate Oversees and performs patient scheduling for surgery, pre/post diagnostic images, laboratory and follow up visits or assigns as appropriate Serves as back-up office phone support and responds to patients in a timely and professional manner Communicates to patients regarding pre/post visit instructions developed by physician. Assists with documentation and education in the patient plan of care as backup or as needed Manages physician dictation editing, filing and mailing process as backup or as needed Stocks and cleans examining room, equipment and instruments as backup to clinical assistant or as needed Ensures time, attendance and paid time off records are properly tracked and reported Attends and participates in department, team and practice meetings Serves as a liaison between VIR office and Ortho South support services for ongoing policy process implementation and process improvement with check in/check out, EHR support and all other coordinated matters Serves as the liaison with billing and coding department for claim research and resolution Maintains a system for monitoring pre-authorizations and insurance referrals Monitors claims denials and staff feedback plans for process improvement Works with purchasing manager and maintains clinical inventory list including inventory control; orders office supplies Maintains a heightened proficiency of current software systems in place and being the team lead for process improvement and evaluating and onboarding new practice management/hospital based systems Serves as the Point of Contact for resolution of conflicts among staff through open and direct communication Serves as the Point of Contact and managing injury and incident inquiries and evaluations, is proactive in identifying, reporting and participating in the resolution of any potential or safety issues Greets all patients and families in a polite, prompt and helpful manner while maintaining professional behavior and adherence to organizational values Demonstrates professionalism at all times Displays cooperative behavior and interacts positively and effectively with others to promote a team environment Performs other duties necessary to maintain the overall efficiency and continuity of the department Responsible for ongoing personal, professional, growth and development and maintaining licensure/certification QUALIFICATIONS Licensed Nurse, Medical Assistant, CMA/RMA: Or degree from a related field and relevant years of experience required 5 years’ experience in a healthcare environment Previous lead/supervisory experience Current BLS required Excellent communication and interpersonal skills necessary for interacting with patients, physicians, supervisors and staff Skill in time management, prioritizing and medical care coordination Ability to organize and accomplish tasks, and have the flexibility to meet changing demands on daily basis Ability to demonstrate compassion and caring in dealing with others Ability to maintain confidentiality Ability to project and maintain a professional image Ability to work independently and excel as part of a team Excellent customer service skills Proficient computer skills and knowledge of electronic medical records PHYSICAL DEMANDS / WORK ENVIRONMENT Daily use of computer operating instruments; stationary PC, Laptop PC, keyboard and mouse Light lifting of paperwork, folders or other general record keeping materials Operation of various office equipment: fax machine, telephone & voice mail system, stationary/lap top computer, e - mail system, scanner, and copier Lifting up to 20 pounds occasionally, and/or up to 10 pounds frequently Walks frequently May be required to sit or stand for extended periods of time Risk of exposure to hazardous conditions and blood borne pathogens Occasional reaching, twisting, bending BENEFITS Health Insurance (80% company paid) Health Savings Account (Company Match: $3,000 family plan / $1625 individual plan) Dental & Vision Insurance Plans 401(k) Match and Profit-Sharing Plan Life and Accidental Death and Dismemberment Insurance (company paid) Long-term Disability Insurance (company paid) Short-term Disability Insurance (company paid) Generous paid time off Voluntary, Employee-Paid Benefits Medical Reimbursement Plan Dependent Care Plan Powered by JazzHR
